How we handle personal data
Privacy Policy
Who we are
Relentless Generation ("we", "us") provides online tutoring and football coaching, including football coaching in the TW13/Feltham area. Relentless Generation is the service provider and data controller. This policy is effective from 7 August 2026 and explains what personal data we hold, why, and what choices you have. Contact us at kjosu@relentless-gen.co.uk for any privacy request.
What we collect
- Account holder details: name, email, mobile number, and messaging opt-in preference.
- Student details: name, date of birth (optional), subject/level or age group, and session notes recorded by the tutor or coach.
- Booking and attendance records, cancellations, and credits.
- Payment records: amounts, status, and identifiers issued by our payment processor. We never see or store full card or bank account numbers.
- Message logs: the reminders we send you and their delivery status.
Why we use it
To schedule and run sessions, take payment for them, send booking reminders, keep attendance and safeguarding records, and to operate and improve the service. Our lawful bases are performance of a contract, our legitimate interests in running the programme, and consent where you have opted in to messaging.
Who we share it with
- Stripe — card and Direct Debit payments and mandates.
- Twilio — SMS and WhatsApp reminders.
- Our hosting and database provider — storage of the records above.
- Our tutors and coaches, who can only see the students assigned to their own sessions.
We do not sell personal data or use it for third-party advertising.
Retention
We keep booking, attendance and payment records for as long as needed to run the programme and to meet UK accounting and safeguarding obligations, then delete or anonymise them. Message logs are kept for troubleshooting delivery and removed once no longer needed.
Your rights
Under UK GDPR you can ask for a copy of your data, ask us to correct or delete it, object to or restrict certain uses, and withdraw messaging consent at any time. Email us and we will respond within one month. You can also complain to the Information Commissioner's Office (ico.org.uk).
Children
Where a student is under 18, the account is held and managed by a parent or guardian, who provides consent on the student's behalf. Adult students hold their own accounts.
Security
Access to the platform requires a login, and permissions are enforced per role so tutors and coaches see only their own sessions. Data is encrypted in transit. No system can be guaranteed to be completely secure; please tell us immediately if you suspect a problem with your account.
Safeguarding information
Information about a child's health, support needs or safeguarding is collected only where relevant to delivering sessions safely. Access is limited to authorised staff who need it for that purpose. For a safeguarding concern, contact us immediately at kjosu@relentless-gen.co.uk.
Changes
We may update this policy as the service changes. The current version always appears on this page.
